We are looking for a friendly customer service oriented, motivated person for front desk administrative assistant. Bilingual required. Job duties include but are not limited to: greeting patients, maintaining excel and Access databases, scheduling, insurance verification, and general office duties. This is a seasonal position lasting 6-8 months.

Summary: Focuses on processing Synagis referrals, obtaining prior authorization, and scheduling. Responsible for external customer service providing patients families and external office staff assistance as needed. Maintains patient medical records as required by State and Federal regulations. Provides general assistance with other Synagis office functions as needed. This is a safety sensitive position

  • Scheduling patient appointments and calling appointment reminders
  • Check in patients, verify insurance, and facilitate signing of consents
  • Making sure referrals are complete and obtain any missing information
  • Process referrals for prior authorization
  • Maintain accurate, complete and organized files according to State and Federal regulations
  • Check on status of prior authorizations and/or pharmacy medication deliveries
  • Work with families on insurance issues providing them accurate resources
  • Follow up on authorization, insurance, or referral issues in a timely manner
  • Process Denials, notify physicians
  • Be able to educate others and give basic information regarding the Synagis Program
  • Verify insurance prior to each scheduled appointment
  • Maintain accurate Excel database of received referrals
  • Maintain accurate Access database of patients seen
  • Prepare charts for upcoming clinics
  • Assist nurses in the clinic as needed
  • Manage incoming phone calls and refer calls to appropriate staff
  • Process billing paperwork and forward to billing department after each clinic
  • Prepare reports as requested
  • Effectively communicate with internal office Synagis Program staff
  • Effectively communicate with all departments within Hacienda Healthcare
  • Must perform duties following safety standards required for this position including but not limited to use of PPEs.
  • Must attend all training sessions required by the company

Minimum Qualifications:

  • High school diploma or equivalent
  • Previous experience working in customer service
  • Must be familiar with Microsoft Word programs - ACCESS and EXCEL
  • Experience in Billing or Insurance Verification
  • Previous office experience preferred
  • Spanish speaking required
  • First aid and CPR certification preferred
